Main things you should know before deciding to apply
- A KA171 project must fit the framework of Erasmus+ "Mobility Projects for Higher Education Students and Staff" so please always check the current Erasmus+ Program Guide.
- The timeline is still tentative as the application deadline is yet to be confirmed by the EU. However, for now we are working towards the deadlines in the current timeline.
- Deadlines need to be met. If you miss a deadline, you will unfortunately not be able to be part of the application.
- You can only apply for mobilities to/from your own Study Board.
- Your manager (could be Head of Department, Head of Studies or Head of Section depending on who is accountable for how you spend your workhours) needs to actively approve your participation in the application. Please note that without their explicit approval, the International Office will unfortunately not be able to include your contribution to the AAU application.
- You will need to complete a pre-screening for each partner country you wish to include in your application. This must be submitted along with the approval from your Head of Department (and, if applicable, Head of Section).
- An academic environment can apply for a maximum of two (2) geographical regions.
- This measure is being taken to give as many academic environments as possible, the opportunity to participate while also favouring high quality applications and projects.
- You might need to co-write your application with other academic environments from AAU. If neither is possible (or if the co-writing attempt breaks down), the International Office will decide who gets to participate for the current call.
- Writing your part of the application takes time and due to the official deadline, the internal deadline coincides with winter exams, and this has proven challenging to applicants in previous years. Hence, we encourage you to start writing in November. So, this year we will try out a new initiative, the session “Moving on with your KA171 application”. The idea is that you bring:
- Everything you know about the project you want to apply for.
- Your questions to the application questions.
- Anything you have already written for the application.
- We then discuss this among us and hopefully you start/continue writing your part of the application. If you need to co-write your application with colleagues from other departments, this is also your chance to meet them and talk about the good way to co-write your application.
- It is not possible to apply for funds for outgoing students at bachelor or master level to a rather long list of countries (please see below).
- Staff mobility usually involves teaching.
- There is only support for travel and stay (no salary funds).
- Fund-units (unit costs) are fixed and will rarely cover the full expenses of a trip. Especially staff and students travelling from your collaborating partner to AAU should expect to have more expenses than the Erasmus+ grant will cover.
- Once the application has been submitted, you can’t change your mind (so be sure that your partners are able to follow through on the project for the next 3-4 years).
- Most participants from the cooperation partner will need a visa/residence permit for Denmark. Obtaining this often:
- Requires travel (to the closest Danish/Nordic representation/visa center).
- Takes time (approx. 3 - 6 months).
- Can be costly (applying for residence permit for studies currently costs approx. 2000 DKK).
- If your application for funds is successful, you will have administrative duties during and after the project (including but not limited to):
- Making sure that “Inter-Institutional Agreements” are signed at the partner institution (this might take quite a lot of time).
- Selecting students/encouraging colleagues from AAU (who fit the project profile you made) to go on the mobilities and putting them in contact with the AAU International Office so the proper papers can be filled.
- Reminding partners to select students/staff to go to AAU.
- Help fill out Learning Agreements.
- Reporting on the project in the Interim and Final Beneficiary Report.
- In the application, the International Office will write the overall section on “Quality of project design and cooperation arrangements”. If you have special design and cooperation measures within your project, please describe these in the section “Relevance of the strategy” for each project.

Criteria (documentation requirements apply)
- Outgoing mobility:
- Students with disabilities, chronic illnesses or conditions requiring treatment. Both physical and mental conditions are included.
- Students with a civic duty or personnel of the reserve.
- Care takers or resource persons (Parent, adoptive parent, care taker for a diseased family member, mentor or support person) .
- Incoming mobility:
- Students with disabilities, chronic illnesses or conditions requiring treatment. Both physical and mental conditions are included.
- Parents to children under the age of 18. It is not a requirement that the child/children accompanies their parent on mobility.
- Students from countries ODA countries* without a Danish representation who therefore need to cross a border to apply for a visa.
- Students from institutions placed more than 1000 km from the nearest Danish representation.

Due to the requirement to contribute to the objectives of the EU external action, the European Commission has decided to limit funds for outgoing mobilities at bachelor and master level to certain countries.
This means that if you apply for mobility funds with partners in countries eligible for official development assistance (ODA) in regions 2-11 outgoing mobility to the partner country at bachelor and master level is not eligible for funding within KA171.
Funding of outgoing mobility towards these countries (marked in red in the photo) is only available for students at doctoral level and for staff. Funding is available for incoming participants (from partner countries) from bachelor through staff level.
